This privacy policy explains which personal data SoloCommerce processes, why we process it and what your rights are.

1. Who is responsible for your data?

SoloCommerce, located at Spiegelstraat 7, 1405 HT Bussum, is responsible for the processing described in this policy. You can contact us at hello@solocommerce.nl or 035 234 0664.

2. Personal data we process

When you use the contact form, we process your name, email address, message and any optional phone number or company name you provide.

When you contact us by email, telephone or WhatsApp, we process the contact details and message content needed to answer you. WhatsApp is a service provided by Meta and is subject to Meta's own privacy terms.

Our hosting provider may process technical data such as your IP address, browser information, requested URL and time of access in server logs. This is used to keep the website secure and diagnose technical problems.

3. Purposes and legal bases

We process enquiries to answer your questions, prepare proposals and take steps before entering into an agreement. We process project and customer data to perform agreements and meet legal obligations. Technical logs are processed for our legitimate interest in securing and maintaining the website.

We do not sell personal data and we do not use it for third-party advertising.

4. Contact form and spam protection

Contact form messages are delivered through Mailgun using its EU API endpoint. ALTCHA provides the spam check. The challenge and verification run through our own website and do not use advertising trackers.

5. Local storage and cookies

The website stores your light or dark theme preference in your browser's local storage. This is not a cookie and is used only to restore your chosen theme.

We do not currently use analytics cookies, advertising cookies or third-party tracking scripts. If that changes, we will update this policy and request consent where required.

6. Service providers and international transfers

We use Railway for website hosting and Mailgun for contact form email delivery. These providers process data only to deliver their services to us.

A provider may process data outside the European Economic Area. Where required, we rely on an adequacy decision, standard contractual clauses or another valid safeguard under the GDPR.

7. Retention periods

If an enquiry does not lead to a project, we normally delete the correspondence within 12 months after the last contact. Project and customer records are kept for as long as needed to perform the agreement and meet statutory administration and tax obligations.

Technical logs are retained according to the configured provider settings and deleted when they are no longer needed for security or troubleshooting.

8. Your privacy rights

You can ask to access, correct, delete or transfer your personal data. You can also ask us to restrict processing or object to processing based on a legitimate interest.

Send your request to hello@solocommerce.nl. We may ask for information needed to confirm your identity and will normally respond within one month.

9. Complaints

Please contact us first if you have a question or concern. You also have the right to submit a complaint to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens, via autoriteitpersoonsgegevens.nl.

10. Changes and contact

We update this policy when our website or data processing changes. The date at the top shows when this version was last revised.
